Clinic Receptionist/Front Office Administrator

Our expanding osteopathy and musculoskeletal health clinic is looking for a FULL TIME reception / front office administrator. Part Time or Reduced Hours can also be considered.

In this key role, you will be responsible for the day to day running of the clinic reception which deals with over 500 appointments per month. This is an opportunity to contribute to the growth of a small business and it comes with a competitive salary with potential to qualify for performance related bonuses.

Responsibilities include:

- Meeting and greeting new patients in clinic
- Maintenance, general tidiness and upkeep of the clinic
- Managing stock levels of medical consumables + ordering of supplies, stationery, business cards, notepads
- Managing stock levels of items for sale
- Managing pilates classes, packages and credit notes
- Direct phone answering +Answering of reception email + Answering of website chat, Facebook, Messenger and Whatssapp

Qualifications

We utilise automated technology for appointment reminders, intake forms and online booking. It is essential that you are proficient in general computer and software use.


- Advanced English certification, Cambridge C1 or higher, GCSE or higher
- Knowledge of Maltese is an advantage but not strictly essential
- Touch typing
- Knowledge of Gmail, word processing, Google Drive and other Gmail features
- Basic knowledge of spreadsheets

You may need to ensure that certain policies are implemented, by using your own judgment in the situation whilst respectfully communicating in uneasy situations.

We love to be punctual and our clinic is one of the first on the Islands to offer an ‘on-time’ policy. Patients rarely wait longer than 10mins for their appointment. As an advocate and promoter of this policy, ‘punctuality' should be one of your top priorities.

- Smart appearance:
The front desk is the first point of contact and the first impression counts.
